Financial Planning – Client Service Officer

About the Role

We are seeking a highly organised and detail-oriented Client Service Officer for our Financial Planning Division to support our advisers and client service team. This role is critical in ensuring the smooth delivery of financial advice services, maintaining accurate client records, and providing a professional and efficient experience for our clients.

You will play a key role in managing administrative workflows, coordinating client appointments, and supporting the end-to-end advice process within a structured and compliance-driven environment.


 

Key Responsibilities

Client & Appointment Management

  • Manage incoming client enquiries and appointment bookings
  • Coordinate adviser calendars and schedule client meetings
  • Prepare and issue appointment confirmations and pre-meeting documentation
  • Ensure clients are directed to the appropriate adviser or team member

Advice Process Support

  • Assist in the preparation of Statements of Advice (SOAs), Records of Advice (ROAs), and review documentation
  • Compile and maintain accurate client data (income, assets, superannuation, insurance, etc.)
  • Prepare and maintain compliant file notes and documentation
  • Monitor and track client files from initial meeting through to implementation

Client Service & Communication

  • Act as a key point of contact for clients on administrative matters
  • Liaise with clients, superannuation funds, insurers, and investment providers
  • Manage incoming and outgoing correspondence efficiently
  • Provide timely updates to clients regarding progress and requirements

Implementation & Processing

  • Prepare and submit applications for investments, superannuation, and insurance
  • Follow up providers to ensure timely processing of transactions
  • Confirm completion of transactions and maintain accurate audit records

Compliance & Record Keeping

  • Ensure all documentation meets internal and regulatory compliance requirements
  • Maintain up-to-date client records in CRM systems (e.g. Xplan)
  • Track outstanding requirements and follow up where necessary
  • Support audit processes and maintain file integrity

General Administration

  • Maintain organised digital filing systems
  • Support advisers and paraplanners with day-to-day administrative needs
  • Assist in improving internal processes and workflow efficiency

About You

Skills & Experience

  • Previous experience in financial planning, administration, or a professional services environment preferred
  • Strong attention to detail and high level of accuracy
  • Experience with CRM systems (Xplan or similar) highly regarded
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
